The advisor who stopped repeating the same review fifteen times: an AI tax review template

Fifteen clients, three weeks and the same conversation

A quarterly review at an accountancy firm is repetitive work with fifteen variants, and an AI tax review template does not fix that by writing for you: it fixes it by documenting the conversation you already had. The same forms get checked, the same deadlines get flagged and the same five questions get answered, but the tax regime is different, the activity is different and what you promised to deliver is different in every case.

By the tenth client you no longer remember who you told you would look into the foreign supplier invoice. And what gets written down, if anything does, is a three-line email drafted at nine in the evening. Hence this article: the job is not for a model to draft anyone's return, it is for every session to end up written without writing it again.

Step by step: from the client session to the document

1. The session is recorded. From the phone, from the web, or by uploading the file. AudioMap does not join the video call: there is no bot that shows up in the client's participant list. You record, with the consent it is right to ask for.

2. It is transcribed with diarization. The transcript separates who is speaking. In a three-way review (you, the client and their partner) that is what lets you come back later and know who took on what.

3. Personal vocabulary spells the names right. Company names, surnames, form names and acronyms. Loaded once, used in every session. And if something came out wrong, a term can be corrected across the whole transcript in one go, not occurrence by occurrence.

4. It gets analysed. For a client review the fitting templates are Meeting minutes (summary, decisions and tasks with owners) or Consulting (diagnosis, prioritised hypotheses, decisions and metrics). Two of the product's thirteen analysis templates, and on the Pro plan the template is detected automatically from the domain of the conversation.

5. The Tax review deliverable is generated. This is the trade-specific part. AudioMap generates deliverables from the note, and one of them is a tax review document with these sections: client context (activity and regime), tax milestones for the period, upcoming obligations with their deadlines, issues raised during the session, advisor recommendations (only the ones actually verbalised) and documentation still to be delivered.

6. The legal notice is included, verbatim. The document always ends with a legal notice section stating, with no room for the model to rewrite it, that it is an automated AI-generated summary and does not constitute a tax opinion, a certified return or professional advice. That is not marketing decoration: the internal instruction that generates the document forbids modifying or omitting that notice.

Why an AI tax review template is not a summariser

A generic summariser hands back six bullets with the most repeated bits of the conversation. A template hands back the shape of the document you need, and that shape has three practical consequences.

Recommendations are limited to what was said aloud. The template explicitly asks that only recommendations the advisor verbalised appear. A summariser fills gaps because its goal is to sound complete; here the empty gap is the correct answer.

Obligations come with deadlines. Not "VAT needs filing" but the form and its date, if they were said. What turns into a client reminder is that, not a paragraph.

Pending documentation is a list. It is the section that removes the nine-in-the-evening follow-up email, because it is already written.

And deliverables are not only documents: the same note also generates a follow-up email and a slide deck, when the review has to be presented.

The client who asked the same thing eight months ago

The second problem at an accountancy is not the session: it is the history. On the Pro plan, global chat queries all your notes at once, so "what did we tell this client about the training deduction?" is answered against the six sessions you had with them, with the exact minute of each answer.

That timestamped citation is the difference between remembering and being able to show. When a client says they were never warned, the answer is not an impression: it is the moment in the recording where they were warned.

Data in Europe, and why it is not optional here

A recording of a client session contains tax data, turnover figures, sometimes health data if sick leave comes up, and always names. For a firm that is not a preference: it is what makes the tool usable without opening an awkward conversation with the data protection officer, and without leaning on an international transfer that would have to be justified.

What it does not do

  • It files nothing with the tax authority. No connection to any filing portal, no forms submitted, no amounts calculated. It documents the conversation.
  • It is not tax advice. The document says so literally in its legal notice, and that notice is there on purpose.
  • It does not replace your judgement. It records what you said, not what you should have said. If an obligation was never mentioned in the session, it will not appear.
  • It does not join the video call. No bot, no phantom participant in the list, no surprise for the client.
  • It does not record on its own. It is not a pendant that listens all the time. It starts and stops when you decide.
  • It does not verify figures against external sources. If the client stated the wrong deadline, the document will carry what was said.

Frequently asked questions

Yes, and asking at the start is the right thing to do. AudioMap does not hide the recording: no bot joins the call, so the only way a recording exists is for someone to start it in plain sight.

Can the tax review document be edited before sending it?

Yes. The deliverable is a draft: generated, reviewed and edited. What should not be removed is the legal notice, which is precisely the part the generator protects.

Can I look up what was discussed with a client months ago?

With global chat, yes: it queries your whole library at once and answers citing the note and the minute. Available from the Pro plan.

Does it work for a firm with several people?

Yes, and there the right unit is the team plan: a shared library, so sessions do not live in the personal account of whoever recorded them and do not leave with that person when they move firms.

Can I send the analysis to the client without the audio?

Yes. When sharing a note you can hide the audio and set an expiry date on the link, up to a year. The client reads the document and does not download the recording of their own session.

Does it integrate with our tools?

There is a REST API from the Pro plan and signed webhooks with retries on Power, plus an MCP server to connect your own assistant. It is explained on the [developers page](/developers).

Which plan you need

The free plan is enough to run the whole circuit with one session: 300 minutes per month and three analysis templates. The tax review deliverable and all thirteen templates start at Personal (€9/month billed annually), with 1,200 minutes per month.
